Description

  • Ensuring that all competition sponsors are featured on the entry form and website.
  • Managing the entry form and ongoing queries around features and competitions.
  • Being the main point of contact for all competition delivery related queries and the installation, operational and logistics teams.
  • Exporting and managing the competition entry data, updating any amends and keeping the relevant teams (marketing, operations, logistics and installation and finance) informed of any significant changes.
  • Creating and sending Excel documents with the required information to all stakeholders involved in the competition, including the logistics teams, quilts, angels and judges.
  • Creating labels for entrants to send their quilts and issuing drop off and collection letters.
  • Creating and proofing signage labels for the quilts and winners and ensuring sponsor credits are included.
  • Awards preparation, including organising trophies, labels and certificates for each category winner, ensuring the correct sponsor is associated.
  • Communicating results to shortlist and winners along with internal marketing and comms teams.
  • Contacting sponsors before the show to confirm awards presenter and ensuring that timings are communicated.
  • Contacting the winners after the show with details of how to redeem prize money and ensuring that trophies and judge’s comments are mailed out after the show.
  • Managing ongoing issues around quilt returns and payments.
  • Supporting the Production Manager with the management and delivery of workshops pre-show and onsite.
  • Issuing Request for Proposals (RFPs) and managing entries.
  • Writing, issuing and managing contracts for the tutors at the events.
  • Sharing timetables with relevant teams and ensuring they are correct on the show and booking website.
  • Being the main point of contact with the tutors and managing workshops, ensuring that any amends or updates are communicated to the relevant teams.
  • Requesting images and sharing them with the marketing and ticketing teams.
  • Issuing all talent-related purchase orders.
  • Drafting and issuing itineraries for all talent appearing at the show, ensuring this is accurate at the time of issue and that any changes or updates are communicated promptly to the agents/contributors.
  • Requesting all head-shots and bios of talent appearing and ensuring they are up to date on event websites.
  • Ensuring all bookings are communicated to the Marketing team.
  • Ensuring accurate timetables are shared with the marketing team for website and for onsite signage.
  • Being responsible for logistics relating to talent, such as booking talent/accommodation.
  • Being the main point of contact for all agents concerning their clients’ appearance at the event.
  • Managing budgets, ensuring they are regularly updated.
  • Liaising with operational teams on talent and workshop related logistics, including any furniture set-up and requirements.
